Feedback after a Repair or Contractor Visit – questionnaire preview

The big tenant survey tells you every two or three years that contractor work is rated mediocre. It does not tell you which firm, which trade and which week. That is exactly what this short template is for: it runs permanently, is triggered after every completed job, and measures the two things maintenance quality really hangs on – whether the issue was fixed on the first visit and how much effort the tenant had to put in. Append trade or contractor as a parameter to the link and comparing firms becomes a filter question in the dashboard.

When should you use this template?

This template is a great fit for:

  • As a QR code on the job sheet the contractor leaves behind
  • As a link in the automatic completion notice from your ERP
  • As a permanent measure of first-time fix rate by trade and firm
  • As factual grounding for annual reviews with contractor partners

From questionnaire to dashboard

Because the survey runs permanently, the dashboard is less a report than an operating gauge:

  • First-time fix rate: The share of jobs completed on the first visit, as a headline figure – the one number that drives cost and satisfaction at the same time.
  • Firms by trade: Ratings as a crosstab of contractor and rating aspect: which partner is weak on punctuality and which on tidiness.
  • Trend across the weeks: Because every response carries a timestamp, the time series shows whether a measure worked – and whether quality suffers under winter workload.

Frequently asked questions

How do we distinguish trades and contractors in the analysis?
Via URL parameters on the survey link, for example ?trade=plumbing&firm=miller. Both values are stored as separate variables with each response and are immediately available in the dashboard as filters and crosstab dimensions. So you can print one QR code per firm – or have your ERP generate the link with the right values.
Are we alerted about outliers when responses come in daily?
Not automatically: DataLion does not currently send a notification when a single poor rating comes in. The dashboard updates continuously, so a weekly look at it can become routine – but there is no per-response alerting. If your process depends on immediate response, you should know this before putting this template into production.
Is the survey really anonymous even though it follows a specific job?
DataLion stores no IP address, identifier or contact details with any response. But it stays anonymous only as far as you design it: if you generate one link per individual job and keep the mapping, the response is attributable for you. For a genuinely anonymous measurement, append only trade and firm – not the job number.
